When does an event need festival-scale restroom planning?
Plan at festival scale when you expect 500 or more guests, or when the event runs 2 or more days. At that size, units go in banks, each bank needs its own accessible unit, and service visits run between festival days. A 500-guest day with alcohol needs about 20 standard units by our method.
Small events can get by with a row of units by the pavilion. Big events cannot. Lines form fast, tanks fill, and one bad spot can block a fire lane or a food truck.
We reviewed 185 recorded calls from people renting porta potties in 2026 (172 reached a live conversation). Callers had heard 3 different rules (1 per 40, 50 or 100 guests). We use one published method. For a 5,000-guest crowd, that gap can mean 50 units or 125.
Smaller groups should start with our special event restroom guide.
How many portable toilets for 500, 1,000, 2,500 or 5,000 guests?
For an event longer than 4 hours with alcohol, plan 20 standard units for 500 guests, 40 for 1,000, 100 for 2,500 and 200 for 5,000. The math is 1 unit per 50 guests, plus 1 per 100 for the long day, plus 1 per 100 for alcohol. Add accessible units and sinks.
Here is the math step by step. Guest counts are peak daily attendance, not total tickets across the weekend.
| Guests per day | Base (÷ 50) | Over 4 hrs (÷ 100) | Alcohol (÷ 100) | Total standard units | Without alcohol | Hand wash stations (÷ 4) |
|---|---|---|---|---|---|---|
| 500 | 10 | +5 | +5 | 20 | 15 | 5 |
| 1,000 | 20 | +10 | +10 | 40 | 30 | 10 |
| 2,500 | 50 | +25 | +25 | 100 | 75 | 25 |
| 5,000 | 100 | +50 | +50 | 200 | 150 | 50 |
Example for 1,000 guests: 1,000 ÷ 50 = 20. Add 1,000 ÷ 100 = 10 for a day over 4 hours. Add 10 more for alcohol. That is 40 standard units. Hand wash is 40 ÷ 4 = 10 two-station sinks. Then add accessible units for each bank, shown in the next section.

Call (972) 812-6200Get quoteHow should units be grouped into banks, and where do accessible units go?
Group units into banks of about 10 to 25, spread across the site, with at least 1 wheelchair-accessible unit in every bank. ADA 213.2 requires 5% of units in each cluster to be accessible, and no fewer than 1. A bank of 25 units needs 2 accessible units.
Banks shorten the walk and spread out the lines. Put one bank near the main stage, one near food and drink, and one near the gate or parking. The rule from the 2010 ADA Standards, section 213.2 applies to each bank on its own.
| Guests per day | Sample layout | Standard units | Accessible units added | Total units |
|---|---|---|---|---|
| 500 | 2 banks of 10 | 20 | 2 (1 per bank) | 22 |
| 1,000 | 4 banks of 10 | 40 | 4 (1 per bank) | 44 |
| 2,500 | 5 banks of 20 | 100 | 10 (2 per bank) | 110 |
| 5,000 | 8 banks of 25 | 200 | 16 (2 per bank) | 216 |
Set each accessible unit at the end of its bank, on the flattest ground, with a firm path to it. Our wheelchair-accessible units are 62 by 62 inches outside, with a 32-inch door, a roll-in floor and handrails. The ADA standard calls for a 60-inch turning space, so confirm the setup with your venue or permit office.
How many hand wash stations does a festival need?
Plan 1 two-station hand wash sink for every 4 toilets, so 20 toilets need 5 sinks. Each PolyJohn Bravo sink holds 22 gallons of fresh water and gives about 350 uses per fill. At a busy festival, sinks need a refill between days, the same visit as the toilet pump-out.
Put sinks at the end of each bank, where people walk out. Food vendors usually need their own sinks too, so check with the health inspector for your event.
At festivals, handwashing is not optional. Read the specs on the PolyJohn Bravo page, or see our hand wash station details.
How does service work on a multi-day festival?
We service units during our hours, Monday through Saturday from 7 AM to 7 PM, and we do not offer night service. Each standard unit has a 60-gallon tank. The driver pumps out waste, cleans, restocks paper and sanitizer, and refills sinks. Sunday service is quoted separately on request.
Mid-event service is added to the quote as a set number of visits. We plan the visits from your daily guest count and hours, and schedule them early, before gates open, when we can.
- Keep a truck lane open to every bank. The service truck has to reach each unit.
- Tell us gate codes, opening times and any noise rules for the site.
- Name one on-site contact who can answer the phone during service hours.
- Extra service visits are available Monday through Saturday, quoted before they are scheduled.
- Running on a Sunday? Sunday service is quoted separately on request.
How do you keep restroom lines and service trucks moving?
Face unit doors toward an open walkway, never into a crowd or a food line. Leave a lane at least 12 feet wide, about one truck, behind or beside each bank for delivery, service and pickup. Set units on level, firm ground, away from low spots that flood.
Lines grow at set times: after a headliner, at halftime, at closing. Put banks where people already walk, not in a dead end.
- Space banks so no guest walks more than a few minutes to reach one.
- Keep banks clear of fire lanes, exits and vendor loading zones.
- Mark each bank on your site map. Our driver uses it at delivery.
- After rain, Blackland Prairie clay gets slick. Gravel or pavement pads keep trucks from getting stuck.
Do festival porta potties need lighting at night?
Yes. A standard unit has a translucent roof that lets in daylight but has no light inside. For any event that runs past sunset, put 1 light tower or a string-light run over each bank. Restroom trailers and VIP cabins have their own lights, but they still need a lit path.
Dark banks feel unsafe and get messy fast. Plan lighting with your stage or power vendor, and note on the site map where each bank sits.
A lit bank also helps our drivers on late-afternoon service visits in winter.
Should VIPs, vendors and staff have separate restrooms?
Yes. A separate, locked bank for staff and vendors keeps workers off the public lines. A VIP area can use a restroom trailer or VIP flushing cabin. Trailers need a standard 110V/20A outlet or a generator (tell us if you supply one or want one quoted) plus a hose hookup or onboard tank.
Ask for a free hasp and padlock on staff units, and give the key or code to your crew leads.
For VIP tents and green rooms, see our restroom trailer guide and VIP single-stall cabins. In our call study, 8% of callers (14 of 172) asked about restroom trailers, often calling them "the nicer trailer option."
How do we line up restrooms with the City of Plano permit?
Plano events with 100 or more people per day need a Special Event Permit, so festivals usually need one. Confirm your restroom count with the permit office or venue, then book units to match the approved site plan. Our itemized quote lists every unit and service visit for your packet.
Start with the City of Plano Special Event Permits page. Many festivals also need fire, health and police sign-off. We are not lawyers, so confirm each rule with the city.
Once the plan is set, call (972) 812-6200. We lock in dates, banks, service visits and pickup on one quote.
